Welcome to Long Meadow. These Terms & Conditions apply to the use of our website, accommodation bookings, fishing and other activities undertaken on the property.

By making a reservation, staying at Long Meadow or using the facilities on the property, guests agree to these Terms & Conditions together with any booking-specific conditions communicated at the time of reservation.

1. Reservations & Bookings

All bookings are subject to availability and are only considered confirmed once confirmation has been provided by Long Meadow and any required deposit or payment has been received.

Guests are responsible for ensuring that all information provided when making a booking is accurate.

The person making the reservation must be at least 18 years old and accepts responsibility for all guests included in the booking.

Prices, minimum-stay requirements and booking conditions may vary according to season, dates, accommodation type and availability.

2. Deposits & Payment

A deposit or full payment may be required to secure a reservation. The amount and payment deadline will be communicated at the time of booking.

Failure to make payment within the requested period may result in the reservation being released.

Any outstanding balance must be paid according to the terms stated in the booking confirmation.

3. Cancellations & Changes

We understand that plans sometimes change.

Cancellation and amendment requests must be submitted to Long Meadow in writing.

Where a booking is cancelled, a reasonable cancellation charge may apply. The amount will depend on factors including the notice provided, the dates reserved, the nature of the booking and our reasonable ability to rebook the accommodation.

Any specific cancellation conditions applicable to a reservation will be communicated during the booking process or included in the booking confirmation.

Where applicable, cancellations will be handled in accordance with the Consumer Protection Act 68 of 2008 and other applicable South African legislation.

Changing the dates of a reservation is subject to availability and may result in a change in the accommodation rate.

4. Arrival & Departure

Check-in and check-out times will be communicated with your booking confirmation.

Early arrivals and late departures must be arranged in advance and are subject to availability.

Guests are asked to respect departure times so that accommodation can be properly prepared for incoming guests.

5. Guest Numbers

Only the number of guests included in the confirmed reservation may stay overnight at the property.

Additional visitors or overnight guests require prior approval from Long Meadow and may be subject to additional charges.

The maximum occupancy of an accommodation unit may not be exceeded.

6. Children

Children are welcome but must remain under the appropriate supervision of a responsible adult at all times.

Long Meadow is a working rural property with natural terrain, dams, waterways and other areas that may present hazards.

Parents and guardians are responsible for supervising children, particularly around dams, water, fishing areas, wildlife, farm infrastructure and uneven terrain.

Children may not fish or enter potentially hazardous areas without appropriate adult supervision.

7. Fishing

Fishing is permitted only in designated areas and is subject to Long Meadow’s fishing rules.

Unless otherwise expressly communicated, catch and release principles apply.

Anglers are expected to:

• Handle fish responsibly and minimise the time they are removed from the water.

• Use suitable fishing equipment and fish-friendly landing methods.

• Follow any instructions regarding hooks, flies, tackle or fishing techniques.

• Avoid damaging vegetation, banks, waterways or surrounding habitats.

• Leave fishing areas clean and free of discarded line, hooks and other waste.

• Respect any temporarily closed or restricted fishing areas.

Long Meadow reserves the right to temporarily restrict or suspend fishing where environmental conditions, water temperature, fish health, maintenance or other circumstances make fishing inappropriate.

8. Dams, Water & Outdoor Activities

Long Meadow is a natural rural environment. Guests may encounter dams, waterways, slippery or uneven ground, wildlife, insects, changing weather conditions and other features ordinarily associated with a farm environment.

Guests should exercise reasonable care when walking, fishing or participating in outdoor activities.

Swimming, entering dams or using water-based equipment is only permitted where Long Meadow has expressly indicated that it is allowed.

Guests must comply with any safety signage or instructions provided by Long Meadow.

9. Personal Safety & Responsibility

Guests are responsible for exercising appropriate care while using the property and participating in activities.

Fishing, walking, exploring the farm and other outdoor activities may carry inherent risks associated with natural environments.

Guests must not knowingly place themselves or others at unnecessary risk and should immediately report any unsafe condition they become aware of.

Nothing in these Terms & Conditions is intended to exclude or limit any liability that cannot lawfully be excluded under South African law.

10. Damage & Breakages

We ask guests to treat the accommodation, furnishings, fishing areas and wider property with care.

Guests are responsible for damage, breakages or losses caused through intentional acts, negligence or misuse by themselves or members of their party.

Accidental breakages should be reported as soon as possible so that we can assist.

Where appropriate, Long Meadow reserves the right to recover the reasonable cost of repairing or replacing property damaged during a guest’s stay.

Normal wear and tear will not be charged to guests.

11. Behaviour

Long Meadow is intended to be a peaceful countryside retreat.

Guests are expected to behave respectfully towards other guests, staff, neighbours, wildlife and the property.

Excessive noise, dangerous behaviour, unlawful activity or behaviour that materially interferes with another guest’s enjoyment of the property will not be permitted.

Long Meadow reserves the right to require a guest to leave the property where their behaviour presents a material safety risk, causes significant disturbance or deliberately damages the property.

12. Fires & Smoking

Fires may only be made in designated fireplaces, braai areas or other expressly approved locations.

Open fires may be prohibited during periods of increased fire risk.

Guests must ensure that fires, braais and fireplaces are never left unattended and are properly extinguished after use.

Smoking is not permitted inside accommodation units. Cigarette butts must be disposed of responsibly and may not be discarded anywhere on the property.

13. Pets

Pets may only be brought onto the property where this has been approved by Long Meadow in advance.

Where permission is granted, owners remain responsible for their pets and must ensure that they do not disturb other guests, livestock, wildlife or the natural environment.

Additional pet-specific conditions may apply and will be communicated where relevant.

14. Wildlife & The Environment

Long Meadow is home to natural flora and fauna, and guests are asked to help us protect it.

Please do not intentionally disturb, capture, feed or harm wildlife.

Plants, natural features and habitats should not be removed or damaged.

Littering is strictly prohibited.

We encourage guests to leave the farm, dams and fishing areas as they found them.

15. Vehicles & Parking

Vehicles must be driven responsibly and only on roads or areas designated for vehicle access.

Any speed restrictions or access instructions on the property must be followed.

Vehicles and personal belongings are parked or stored at the owner’s responsibility, subject always to applicable law.

16. Personal Belongings

Guests are responsible for looking after their personal belongings during their stay.

Please take reasonable precautions with valuables, fishing equipment, electronic devices and other personal property.

Any lost property discovered after departure may be retained for a reasonable period. Where possible, we will assist with returning items, with any courier or delivery costs normally being for the guest’s account.

17. Weather & Natural Conditions

As a countryside and fishing destination, certain experiences may be affected by weather and environmental conditions outside our control.

Rain, storms, drought, water conditions, temperature, road conditions or other natural circumstances may affect fishing and outdoor activities.

We cannot guarantee fishing conditions, fish activity, weather or that every outdoor activity will be available throughout a stay.

18. Fishing Results

Fishing is, by nature, unpredictable.

While we work to maintain the quality and health of our waters, Long Meadow cannot guarantee that guests will catch fish during their visit.

That’s part of the charm.

19. Photography

Guests are welcome to take photographs and videos for their personal use, provided this does not interfere with the privacy or enjoyment of other guests.

Professional, commercial or promotional photography and filming may require prior permission from Long Meadow.

20. Website Information

We take reasonable care to ensure that information, photographs, rates and descriptions on our website are accurate.

However, accommodation, landscaping, furnishings, fishing conditions and facilities may change from time to time.

Images are intended to provide a fair representation of Long Meadow but may not reflect every seasonal or operational change.

21. Website Availability

We cannot guarantee that the website will always be available, uninterrupted or completely free from technical errors.

Long Meadow may update, change or remove website content without prior notice.

22. Intellectual Property

Unless otherwise stated, the photographs, text, graphics, branding and other original content appearing on the Long Meadow website are owned by or licensed to Long Meadow.

Content may not be reproduced, distributed or used commercially without prior written permission.

23. Personal Information

Personal information provided through our website or during the booking process will be handled in accordance with our Privacy Policy and applicable South African privacy legislation.

24. Third-Party Services

Where our website links to or makes use of third-party services such as booking platforms, maps, social media platforms or payment providers, those services may operate according to their own terms and privacy policies.

Long Meadow does not control third-party websites or platforms.

25. Circumstances Beyond Our Control

There may be circumstances outside Long Meadow’s reasonable control that affect a booking or the availability of certain facilities.

These could include severe weather, natural disasters, fires, interruptions to utilities, government restrictions, road closures or other unforeseen events.

Where this occurs, we will make reasonable efforts to communicate with affected guests and find an appropriate solution in the circumstances.

26. Changes to These Terms

Long Meadow may update these Terms & Conditions from time to time.

The version applicable to a booking will generally be the version made available at the time the booking is confirmed, together with any specific terms communicated as part of that reservation.

27. Governing Law

These Terms & Conditions are governed by the laws of the Republic of South Africa.

Nothing contained in these terms is intended to remove or reduce any rights afforded to a consumer under applicable South African consumer protection legislation.
